Build a Profile

Eligibility Criteria:

  • Nonprofit organizations with IRS 501(c)(3) PC status
  • Based in and/or significantly serving Middle Tennesseans

Communities of faith, public schools, and governmental organizations are not eligible to be profiled, although PTO organizations, fundraising bodies, and some programs operated through communities of faith are eligible. If you are unsure about your organization's eligibility, please contact us at givingmatters@cfmt.org.

Expiration Date?

Each published profile will be assigned an "Expiration Date." While this language might sound "final," it simply represents the start of the annual update process.

  • We allow 90 days after the expiration date to complete all required Annual Updates.
  • After that time period, your organization will no longer have a "Reviewed" status & its Donate Now button will be removed. (There are some exceptions for organizations who are under current Charitable Solicitations permit extensions!) Please feel encouraged to update your profile with the required updates at any time to regain that status.

The expiration date for each organization typically aligns with the due dates for Charitable Solicitations permit with the State of Tennessee and the IRS submission of the Form 990's (6 months after fiscal yearend).

Just Remember: The GivingMatters team will send an email reminding each of your organization's profile managers that it is time to begin the Annual Update process. That email will include both the Annual Update Checklist and the NPO User Guide.

So, you have an up-to-date GivingMatters.com profile - now what? We're here to help you make the most of your GivingMatters presence! This section is designed to provide you with resources and tools to enhance your profile's impact and utility. Here, you'll find:

Annual Update Process

The GivingMatters.com team encourages our partnering organizations to complete an annual update, or a yearly update of your profile's required information. Ensure your annual update is complete by your profile's expiration date, found on the Dashboard when logged in. Organizations have an additional 90 days post-expiration to update before the profile is marked "Declined to Update."

Each published profile is assigned an expiration date, based on when most organizations file their taxes and renew their charitable solicitations permit. While this language might sound "final," the expiration date simply represents the start of the annual update process. Please remember that we allow 90 days after the expiration date to complete all required Annual Updates. After that time period, your organization will no longer have a "Reviewed" status, and its "Donate Now" button will be removed. There are some exceptions for organizations under current Charitable Solicitations permit extensions. See the question "Does your organization need more time to process your annual update?" dropdown for guidance. Any organization whose profile is no longer "Reviewed" will be able to update all required fields in order to regain "Reviewed" status at any time.

Each organization should have received the Annual Update Checklist which reviews all fields that must be updated once annually. These include board chair information, current fiscal year dates, current budget document including projected revenues and expenses, renewed Charitable Solicitations permit or exemption letter, last fiscal year's Form 990, and last fiscal year's audit.

Many funding opportunities require or recommend you to update your GivingMatters.com profile by a certain date. These deadlines don't necessarily align with your profile's annual update. For instance, a funder may require an updated profile before you are required to have uploaded your organization's last Form 990. However, ALL completed Form 990s and renewed permits, as well as other required updates, are needed before we renew your profile's annual update.

In an effort to support nonprofit best practices within our community, as well as to streamline the grantmaking process between nonprofits and our foundation partners, it is important to provide State and IRS regulatory documents once annually in order to show your organization still meets minimum funding requirements. Up-to-date profiles are also enabled to receive donations using our Donate Now button, an effective online giving tool.

You can make as many updates as frequently as you'd like. Most updates are now published right after you make and save them, except for the required items needed for the annual update. You can view your profile in entirety by logging into the Administrative Dashboard and choosing My CFMT Profile.

A profile falls under "Declined to Update" status when three months have passed since the profile's expiration date without the required information. To get off this status, update your profile with all the missing information.

Most organizations have a Profile Expiration Date that coincides with due dates for their Form 990 and Charitable Solicitations permit. The Secretary of State will not process extension requests after your permit expiration date passes, so please make sure to submit this timely extension request to the State here. If your organization has received an extension for these documents, you are able to submit the extension approval details as a placeholder within GivingMatters.com, and in doing so, we are able to extend your expiration date an additional 90 days while you await the completed documents. Please note that you may receive these auto-emails more than once in exchange for this support, so please use these emails as the reminder they are intended to be.

Research and Learning with Find Organizations Feature

GivingMatters.com offers transparency to donors and funders who are interested in supporting nonprofit organizations they can trust. Online donors can find your organization and quickly look at your updated information, and then easily support your organization using our Donate Now button functionality. Additionally, GivingMatters.com acts as a sort of storage space for your organization's important financial and operating documents.

The majority of the information listed on GivingMatters.com is provided on a voluntary basis by area nonprofits. Information provided in the financial charts and graphs is entered by GivingMatters.com staff. Our staff analyzes these official financial documents and enters financial figures to the site.

No. Your GivingMatters and GuideStar profiles will now have to be maintained independently. GivingMatters.com is now powered by the nonprofit technology company, NeonOne. This means the transfer system we had with GuideStar is no longer possible.

The Reviewed icon indicates a nonprofit's profile is complete and has been updated within the last year. The profiles with this icon have been reviewed by GivingMatters.com staff to ensure that financial information is consistent with official documents (IRS Form 990 or audited financial statements).

The Declined to Update icon means the organization has not provided required information their profile needs to be considered up-to-date. Their profile has gone three months past its expiration date without the necessary edits. When a profile is on Declined to Update, it loses its Donate Now button until all required information has been provided.

Donors use the "Donate Now" button on your profile to support your organization. CFMT processes those gifts monthly the month following, and uses ACH Direct Deposit to transfer those donations to your bank account at the beginning to middle of the following month. Gross donation totals, donor contact information, etcetera, can be viewed in real time by logging into to your Administrative portal and choosing "My Donations."

Fees are negotiated annually with our platform and credit card providers. In 2024, the fees are as follows:

  • Platform Fee: NeonOne assesses a fee of 2.7% per transaction (including E-Checks).
  • Credit Card Processing Fees:
    • American Express: 3.6% + .30 per transaction
    • Visa/MasterCard/Discover: 2.6% + .30 per transaction
    • ACH/E-check: 1% + $1 per transaction
The full transaction fee is estimated to be approximately 6%. Please note that the Community Foundation does not receive any portion of these fees. Donors are given the option during checkout to add 6% to their donation in order to cover these fees and many donors do!

 

GivingMatters.com profiles 501 (c)(3) public charities authorized by the Secretary of State's office to raise money in Tennessee. GivingMatters.com does not profile religious organizations operating for religious purposes (i.e. churches, synagogues, mosques). In some instances, programs that are operating within a religious organization but are serving the community outside of the congregation are eligible to be profiled on GivingMatters.com. These situations are handled on a case by case basis.

The narrative information in each profile is provided voluntarily by the nonprofit. GivingMatters.com does not guarantee the accuracy of any such data, make any representations or warranties with regard to nonprofits in the database, or guarantee they are in compliance with all state and federal requirements. However, GivingMatters.com does seek to include the most accurate data available through document verification and a due diligence process.

GivingMatters.com does not endorse or recommend nonprofit organizations.

Organizations are listed by their legal names on GivingMatters.com. The name can be changed when the organization's legal name has been changed officially with the IRS. An Affirmation Letter confirming this change must be provided to update the organization's name on the profile.

In order to add, change, or deactivate users, you'll want to Login at GivingMatters.com as a Nonprofit and choose My Users.

  • To add a user, choose "Add a new user" and fill out the required fields of First Name, Last Name, and Email and then select "Save."
  • To remove a User, choose "Manage Settings" for each user you'd like to remove and choose the "Remove" button next to "Neon Giving Days:" and "Email Notifications:" (if applicable). Users will be inactive if both buttons now reflect the "Grant" button.
  • To receive all important updates about your GivingMatters.com profile, choose "Manage Settings" for each user you'd like to receive these messages and choose the "Grant" button next to "Email Notifications:".
  • To reactivate a previously Inactive User, choose "Inactive Users" and then "Manage Settings" next to your inactive user. Then select "Grant" next to "Neon Giving Days" and decide if you'd also like this user to receive all important email updates about your profile.
  • If you'd like to change your email address, you'll need to create a new user and then remove the inactive user(s) with the above process.
  • All profile managers accounts are tied to their email address.
  • If your primary user's email will remain unchanged but you need to update the First Name, Last Name, or telephone number of your new user, please reach out to our team at GivingMatters@cfmt.org for assistance.

You can find the name and email of your GivingMatters.com Profile Coach, by visiting GivingMatters.com, logging in as a Nonprofit, and choosing My CFMT Profile.

Some fields are only editable by GivingMatters.com staff, such as EIN, year of incorporation, and the Letter of Determination. Contact your GivingMatters.com coach for assistance with these fields.
